The ideal candidate will be responsible for managing real estate transactions from contract execution through closing, ensuring all documents, deadlines, communications, and compliance requirements are handled accurately and efficiently.
We are looking for someone who can work independently, manage multiple transactions simultaneously, and communicate professionally with agents, buyers, sellers, lenders, attorneys, and other parties involved in the transaction.
Key Responsibilities
Manage real estate transactions from under contract to successful closing.
Review purchase agreements, amendments, disclosures, and other transaction documents for completeness and accuracy.
Ensure all transaction files comply with Georgia Real Estate Commission (GREC) requirements and brokerage policies.
Monitor critical deadlines, including due diligence, earnest money, financing contingencies, appraisals, and closing dates.
Coordinate communication between agents, clients, lenders, closing attorneys, title companies, and other involved parties.
Prepare and organize transaction paperwork, amendments, and closing-related documents.
Maintain accurate and updated transaction records using brokerage management systems.
Follow up with all parties to ensure timely completion of outstanding requirements.
Assist with short sale transactions, lender documentation, foreclosure-related deadlines, and closing coordination when applicable.
Provide regular transaction status updates to the Broker and assigned agents.
Identify potential transaction issues early and promptly escalate them to the Broker.
Ensure all required documents are properly executed, submitted, and maintained in the brokerage's files.
Qualifications & Requirements
Previous experience as a Real Estate Transaction Coordinator, Real Estate Administrative Assistant, or similar position preferred.
Strong understanding of Georgia real estate contracts, transaction procedures, and compliance requirements.
Familiarity with FMLS, GAMLS, DocuSign, ShowingTime, and transaction management platforms is a plus.
Excellent organizational skills and strong attention to detail.
Ability to manage multiple transactions and deadlines simultaneously.
Strong written and verbal communication skills.
Proficiency in Microsoft Office, Google Workspace, and document management systems.
Ability to work independently with minimal supervision.
Professional, dependable, resourceful, and highly responsive.
Experience handling short sales, distressed properties, or foreclosure-related transactions is a plus.
What We're Looking For
We need someone who takes ownership of their responsibilities, stays ahead of deadlines, follows through on assignments, and ensures that no important detail is overlooked.
Accuracy, accountability, confidentiality, communication, and consistency are essential for this position.
