Location: Remote

Compensation: $15–$20 USD/hour, depending on experience and qualifications
Schedule: Flexible, with some required availability during US Eastern Time

ABOUT US

Tea & Rosemary is a growing witchcraft education and ritual products business based in Massachusetts, USA.

We're looking for a highly organized, detail-oriented Membership Operations Coordinator to help manage the day-to-day operations of The Shadow Society, our online witchcraft education membership.

This is a long-term, part-time position for someone who loves keeping things organized, communicates naturally, and takes ownership of their responsibilities.

Our founder creates the educational curriculum and leads the monthly initiation ceremonies. Your job will be to make sure the operations behind the scenes run smoothly and on time.

We're looking for someone who can take responsibility for a process from beginning to end, not someone who needs to be reminded of every individual task.

WHAT YOU'LL BE RESPONSIBLE FOR

CURRICULUM PUBLISHING & SCHEDULING

- Review prepared educational materials and identify what needs to be published each week.
- Publish weekly curriculum in Mighty Networks, typically on Mondays at 10 AM Eastern.
- Verify that materials, links, and member access are working correctly.
- Maintain an organized calendar of curriculum releases and deadlines.

MEMBER ANNOUNCEMENTS & COMMUNICATIONS

- Independently draft and publish weekly announcements, event reminders, and monthly welcome posts.
- Review curriculum and ritual instructions to identify what members need to prepare or bring to upcoming events.
- Write clear, warm, natural forum posts that match our established communication style.
- Tag new members in designated welcome posts.
- Schedule announcements in advance whenever possible.

GUEST SPEAKER COORDINATION

- Take over guest speaker communications after our founder has booked and introduced them.
- Collect speaker biographies, photos, presentation materials, and other necessary information.
- Coordinate event details, send reminders, and confirm everything is ready.
- Coordinate guest speaker payments and upload event recordings.
- Communicate professionally and promptly with guest speakers.

LIVE EVENT LOGISTICS

- Create and manage Zoom meetings and event links.
- Confirm that facilitators and guest speakers have everything they need.
- Ensure recordings are saved, uploaded, and accessible to members.
- Keep track of upcoming events and proactively address missing details.

OPERATIONS & QUALITY CONTROL

- Maintain a master calendar and recurring task checklists.
- Send a brief weekly report confirming completed tasks and upcoming priorities.
- Double-check information, links, permissions, and deadlines.
- Identify potential problems early and communicate them before they become urgent.

WHO WE'RE LOOKING FOR

Excellent written English is essential. A significant part of this position involves writing announcements and reminders that sound natural, friendly, and human.

We're not looking for overly formal, generic, or AI-sounding writing.

You should also be:

- Exceptionally organized and attentive to detail.
- Proactive and comfortable working independently.
- Reliable with deadlines and scheduled responsibilities.
- Responsive to messages and comfortable asking questions when clarification is needed.
- Able to read educational materials, extract important information, and turn that information into accurate announcements and reminders.
- Comfortable managing multiple small deadlines without needing frequent supervision.
- Experienced with online platforms, calendars, Zoom, and administrative workflows.

Experience with Mighty Networks, online memberships, or digital course businesses is a plus, but not required.

You do not need prior knowledge of witchcraft. However, you should be comfortable working with spiritual and witchcraft-related educational content and willing to learn our terminology.

SCHEDULE & COMPENSATION

This position pays $15–$20 USD per hour, depending on experience and qualifications, with five hours of work guaranteed per week.

Most work can be completed on a flexible schedule, but certain responsibilities are time-sensitive.

For example, our weekly curriculum is published on Mondays at approximately 10 AM Eastern Time. You must be comfortable handling these scheduled responsibilities reliably, even when they fall outside typical working hours in your time zone.

We expect the position to begin at approximately five hours per week, with additional paid hours available when approved for training or busier periods.

There is potential for the role to grow as our business expands.

WHAT SUCCESS LOOKS LIKE

Our goal is to have someone who can independently manage the operational side of our membership.

We'll provide training, examples of our writing style, and clear systems for recurring responsibilities.

However, we're looking for someone who takes initiative.

For example, if an upcoming ritual requires members to bring specific materials, you should be able to review the ritual instructions, identify those materials, and include them in the reminder without needing us to write the post for you.

If a guest speaker hasn't submitted their materials, you should follow up proactively.

If something is unclear, we absolutely want you to ask questions. We just expect you to review the available information and make a reasonable effort to find answers first.

Ultimately, we want someone who takes ownership of making sure things happen correctly and on time.

HOW TO APPLY

Please include the following in your application:

1. A brief introduction about yourself and your relevant experience.
2. Examples of previous work involving online memberships, operations, administrative coordination, or written communications.
3. A short explanation of how you keep track of recurring deadlines and ensure nothing gets missed.
4. Your desired hourly rate in USD (within our advertised $15–$20/hour range).
5. Confirmation that you're comfortable with the required Monday availability in US Eastern Time.

Please include the word ROSEMARY in the subject line of your application so we know you've read the full posting.

Shortlisted candidates will be invited to complete a brief, approximately 15-minute skills assessment involving writing and organizational tasks. Finalists will also participate in a Zoom interview.

We're looking for someone who wants to become a trusted, long-term part of our small team.
