About the Role

We’re looking for a highly organized, detail-oriented, and proactive Order Manager to keep our operations running smoothly behind the scenes. You’ll oversee the order process from the initial client request through final delivery, coordinating multiple details in our fast-paced promotional products environment.

Required Qualifications

- Previous experience in the promotional products industry
- Experience designing, managing, and maintaining Company Stores using OrderMyGear, Chipply, and BrightStores
- This is an exclusive, full-time position with MPP. No other employment or company roles are permitted
- Ability to thrive in a high-volume, deadline-driven environment where priorities can change throughout the day
- Proactive communication style with the ability to identify concerns and provide updates without constant follow-up
- Positive, respectful, and collaborative approach to working with others
- Excellent attention to detail and accuracy when managing quantities, pricing, ship dates, and other order information
- Ability to review your own work, learn from errors, and take steps to prevent them from recurring
- At least 2 years of experience in administration, order coordination, or customer service
- Strong written communication and problem-solving abilities
- Comfortable using technology, Trello, email, and digital file management tools
- Ability to work independently while managing multiple projects and deadlines

Key Responsibilities

Order & Client Management

- Research and source product options through SAGE based on client needs
- Communicate with vendors to obtain quotes, pricing, and production schedules
- Enter, organize, and monitor orders through Trello
- Maintain accurate and organized project documentation
- Track shipping schedules and transit times to help ensure timely delivery
- Proactively communicate delays, backorders, and other order-related concerns
- Follow up with vendors regarding production and shipment status
- Assist with calculating net and client pricing to ensure accurate quotes

Systems & Administration

- Maintain detailed internal notes and updates for team visibility
- Add and update product information in SAGE
- Assist with organizing and maintaining Trello boards
- Identify opportunities to incorporate AI tools into existing workflows to improve efficiency
- Maintain mileage records
- Track embroidery projects

Client Marketing & Retention

- Prepare basic product mockups for clients
- Maintain an accurate and updated newsletter database
- Update the Client Retention (CR) worksheet weekly and assist with client outreach
- Develop CR email campaigns featuring seasonal, new, and trending product ideas
- Create quarterly and seasonal flipbooks featuring team signature lines

Company Stores & General Support

- Build, manage, and maintain client Company Stores
- Provide support to the Pre-Order Manager when needed
- Monitor and respond to emails promptly
- Assist with various ad hoc projects and administrative tasks

Preferred Qualifications

- Experience with Canva
- Experience with QuickBooks
