Key Responsibilities
1. Odoo ERP Implementation & Management
- Work closely with our external Odoo implementation partner throughout the ERP implementation.
- Understand, document and translate business requirements into practical Odoo workflows.
- Assist with configuring and managing Odoo modules, particularly Purchase, Inventory, Sales and Landed Costs.
- Conduct system testing, identify issues, document bugs and coordinate resolutions.
- Ensure the ERP is properly implemented and that workflows operate as intended.
- Maintain system data, master records, product information and supplier information.
- Identify opportunities to automate processes and improve operational efficiency.
2. Procurement Management
- Manage and monitor purchase orders across multiple suppliers.
- Track supplier confirmations, order status, production updates and delivery timelines.
- Maintain accurate records of supplier quotations, purchase orders, invoices and payments.
- Track partial supplier payments and outstanding balances against individual purchase orders.
- Monitor supplier performance, lead times and procurement costs.
- Ensure all procurement information is properly recorded and updated in Odoo.
3. International Logistics & Shipment Management
- Coordinate the movement of goods from multiple suppliers to our consolidation warehouse.
- Manage mixed-container and full-container shipments.
- Track shipment ETD, ETA, shipping status and supporting documentation.
- Monitor freight, customs, clearance, handling and other logistics expenses.
- Maintain accurate shipment records and ensure all relevant purchase orders are linked to their respective shipments.
- Work with shipping agents and suppliers to ensure timely and accurate updates.
4. Container Planning & Cost Management
- Record carton dimensions, weights and CBM for products.
- Assist in optimising 20ft and 40ft container utilisation.
- Monitor container loading plans and consolidation requirements.
- Ensure shipment-related costs are accurately captured and allocated to the relevant products.
- Work with the finance team to establish accurate landed costs and true product costs.
5. Reporting & Operational Analytics
- Develop and maintain procurement and logistics dashboards.
- Monitor outstanding purchase orders, delayed shipments and supplier performance.
- Track inventory movement and ageing across warehouses.
- Identify slow-moving and fast-moving products.
- Prepare regular management reports highlighting operational issues and improvement opportunities.
Required Qualifications & Experience
- Minimum 8 years of relevant experience in procurement, supply chain, logistics or ERP management.
- Strong practical experience using Odoo ERP, particularly Purchase and Inventory modules.
- Experience participating in an Odoo implementation, configuration or system migration is highly desirable.
- Understanding of international shipping, container consolidation and freight processes.
- Good understanding of inventory management across multiple warehouses.
- Advanced Microsoft Excel and reporting skills.
- Strong analytical, organisational and problem-solving abilities.
- Excellent written and spoken English.
Preferred Qualifications
- Experience with Odoo.
- Familiarity with Tally or other accounting systems.
